Workplace Experience Partner (m/f/d)

Role Summary:

As the Workplace Experience Partner (m/f/d), you will be the key person to provide administrative support to the Workplace Experience Department (WPX) , interacting with customers, suppliers, engineers and last but not least, our employees.  It will be an exceptional opportunity to progress your career in Facility Management.

We want you to:

1.    Facility Maintenance and Operations:

  • Ensure high standards in the maintenance of the facility, including cleaning, HVAC, electrical, plumbing, and other critical systems.
  • Schedule and supervise maintenance work both routine and emergency, to ensure minimal disruption to operations.
  • Manage and maintain building security, including access control, alarm systems, and emergency preparedness.

2.    Health and Safety Compliance:

  • Ensure compliance with local, state, and federal regulations regarding workplace safety and building codes.
  • Develop, implement, and regularly update health and safety policies.
  • Conduct regular safety inspections and audits, implementing corrective actions when necessary.

3.    Budget and Resource Management:

  • Prepare, manage, and monitor the facility’s operating budget, including expenses for maintenance, utilities, and supplies.
  • Negotiate contracts with vendors and service providers, ensuring cost-effectiveness and quality of service.
  • Track and report on key performance indicators (KPIs) related to facility management.

4.    Project Management:

  • Plan and oversee facility-related projects, such as layout changes, renovations, expansions, or new construction.
  • Coordinate with Hyundai Engineering, architects, contractors, and other stakeholders to ensure projects are completed on time, within budget, and to the required standards.
  • Manage the allocation and utilization of space within the facility to meet the changing needs of the organization.

5.    Vendor and Contract Management:

  • Manage relationships with external service providers, including cleaning services, security firms, and maintenance contractors.
  • Oversee the procurement of materials and services, ensuring compliance with company policies and procedures.
  • Monitor vendor performance and resolve any issues.

6.    Sustainability and Environmental Management:

  • Implement sustainable practices to reduce energy consumption, waste, and the facility’s overall environmental impact.
  • Monitor and report on energy usage, recycling programs, and other sustainability initiatives.
  • Promote environmental awareness among staff and tenants.

7.    Tenant and Occupant Services:

  • Serve as the primary point of contact for tenants or building occupants regarding facility-related issues.
  • Address and resolve complaints or concerns related to the building’s operation or maintenance.
  • Ensure that all occupants are aware of and comply with facility policies and procedures.
     

About you:

  • Vocational school graduate with relevant certifications (e.g., Facility Management Professional - FMP, Certified Facility Manager - CFM) .
  • Bachelor’s degree in Facility Management, Engineering, Business Administration would be a plus.
  • Minimum of 2 years of experience in facility management, with a proven track record of managing complex facilities.
  • In-depth understanding of German health and safety regulations and building codes.
  • Familiarity with sustainability practices in facility management.
  • Knowledge of security systems, emergency preparedness, and access control.
  • Proficiency in budgeting and financial management related to facility operations, including renovations and construction.
  • Strong project management skills with experience in overseeing complex projects.
  • Knowledge of project management principles as applied to facility-related projects.
  • Experience in Vendor and contract management with excellent negotiation skills 
  • Strong analytical skills to identify issues and implement effective solutions.
  • Excellent verbal and written communication skills in both German and English, with the ability to interact with a wide range of stakeholders.
  • Highly organized, with the ability to manage multiple tasks and projects simultaneously.
  • Meticulous in ensuring that all aspects of facility management are handled to high standards.
  • Emergency response and crisis management skills, with ability to work flexible hours when necessary.
