Job Purpose

 

  • Ensure the management of personnel administration

General Responsabilities

 

  • Monitor and ensure compliance with all administrative obligations for employees and the company, from hiring to termination of the employment relationship.

  • Ensure the correct management of HR software related to personnel administration (Zucchetti – Presenze, Ztravel, HR Workflow, Edenred, ticket restaurant, welfare).

  • Maintain and update the company's HR databases (personal data, C&B, performance).

  • Draft and update all contractual documents (employment contracts, salary increase letters, smart working requests, maternity leave requests...) for local and expatriate employees.

  • Supervise the payroll process, ensuring it is executed with the utmost accuracy and within the prescribed timelines, coordinating with the payroll firm. Handle any requests from staff and management regarding payroll.

  • Support and verify the management of supplementary pension funds.

  • Ensure the correct application of disability-related regulations within the company.

  • Assist in the development of internal procedures related to personnel administration.

  • Manage the attendance flow, ensuring compliance with current laws and company regulations.

  • Supervise Health and Safety activities, the management of health insurance funds or other insurance provided by the company to employees (management of health insurance portals).

  • Monitor Quality Certification.

  • Monitor portals: INPS, INAIL, disability targeted placement, Click lavoro, COB.

  • Keep updated on labor law regulations.

  • Labor costs: variance analysis, budget preparation.

  • Provide support in managing PEC (Certified Email) in the HR area.

  • Provide support in preparing presentations and reports for P&O and GA (accounting reports, reports for internal and external clients, e.g., auditors, top management requests).

  • Actively contribute to the continuous innovation and optimization of company policies, procedures, and standards.

Job Requirements

 

  • Bachelor’s degree or above

  • Minimum 5 years’ experience in similar position

  • Proven experience as payroll specialist or supervisor with deep knowledge of Italian labor law and applicable fiscal regulations

  • Solid understanding of accounting fundamentals and payroll best practices

  • Zucchetti software knowledge is a must 

  • English knowledge is considered a plus
