Used Car Coordinator

We are now recruiting for a Used Car Coordinator who will provide comprehensive support for stock management and used sales activities across the HMUK HAF Fleet and the Used GMUK stock/demo fleet.  This role ensures accurate inventory control, efficient coordination of used vehicle sales, and alignment with organisational sales and operational objectives.

 

This role will suit an individual who enjoys working in a fast-paced environment, has strong organisational, time management skills with keen attention to detail.

We want you to:

 

HAF Fleet Defleet Administration 

  • Liaise with “The AA” HAF team to coordinate and track HAF fleet vehicles coming off fleet 
    o    Reporting controls therein
    o    Liaise with Tilbury on replacement car delivery (prior to collection)
  • Recover, file and log V5s from Lex Auto Lease
  • Offer vehicles to the Network, prior to being collected and delivered into Bruntingthorpe 
    o    Pricing agreed with UC Management
    o    Email Retailers with offer to purchase and track responses
    o    Coordinate sales with UC Admin team; record sales for VRB target achievement
  • Coordinate collection of unsold vehicles with Tilbury/ECM
  • Monitor HAF fleet vehicle status at MVS Bruntingthorpe and progress chase as required 
    o    Progress damage repair authorisation (with Line Manager) via CAMS
    o    Track vehicle repair authorisation at MVS (and receipt of V5) to trigger payment authorisation to Lex Autolease (within 15 days)
  • Coordinate and manage the re-charge to Retailers of vehicle damage captured at MVS 
    o    Damage Inspections Reports control from MVS
    o    Provide Finance with Retailer re-charge reports
    o    Monitor and respond to Retailer queries to re-charges (via the HAF inbox)


Genesis Used Inventory Administration

  • Manage overall vehicle stock and inventory
    o    Maintain and update inventory levels and valuations
    o    Handle aged stock, repairs, and V5 documentation
  • Administer sales orders and processing
    o    Input and manage accurate sales orders in the system
    o    Ensure documentation compliance and liaise with internal teams
  • Coordinate delivery and logistics
    o    Schedule deliveries and confirm logistics
    o    Resolve delivery issues and maintain delivery records
  • Support sales forecasting and reporting
  • Provide general administrative support for sales operations
    o    Manage customer/order records and documentation
    o    Support invoicing, registration, and ad hoc sales tasks

 

Data Warehouse management
Update daily sales and stock data in the data warehouse

 

Additional Responsibilities:
Provide cover for Hyundai Sales Admin / Internal Fleet / Company car/ ECS schemes responsibilities during periods of absence
