Job Purpose 

The purpose of the role is to serve as the primary point of contact at Tilbury for all Genesis admin and operational inquiries, while maintaining effective relationships with both internal and external stakeholders. The role also involves managing the ordering and distribution of parts to meet distribution requirements, ensuring parts stock levels are controlled to minimise surplus stock holding, and arranging and managing DTC deliveries. Additionally, this candidate will be responsible for administrating the processes for cars imported and processed through the Tilbury operation, providing administration support to other departments regarding services carried out by the Import Centre, working closely with the national delivery contractor to facilitate car distribution, and ensuring that SAP is accurately updated.

Key Responsibilities

  • Updating SAP system on all processes through the Import Centre (Future State).
  • Liaising with head office and retailers and contractors on general enquiries.
  • Updating the location of vehicles.
  • Communicating with stakeholders regarding the fitting of Optional Extras and updating relevant systems.
  • Registering and Taxing of Company & Fleet vehicles using Hi-Way System and updating the relevant logs and forms.
  • Provide Stock Maintenance sheets to Logistics and update log reports.
  • Handovers to ECM.
  • Updating the Administration of vehicles going through the repair process. Logs to be updated with the costs, liability and chasing vehicles through the process of rectification.
  • Re-claim repair costs from insurers, 3rd parties and warranty systems.
  • Invoicing in and out to 3rd Parties.
  • Month End Reports & Charges.
  • Order and maintain parts inventory.
  • Control the distribution of parts at point of dispatch.
  • Arrange and manage direct-to-customer deliveries (DTC).
  • Other Duties as requested by Management from time to time.
     

Person Specification

  • Good working knowledge of PC operation including Excel, Word and Outlook.
  • Ability to organise & maintain systems and keep accurate records.
  • Ability to work under pressure to maintain high accuracy levels.
  • Ability to communicate with people at all levels.
  • Ability to prioritise workload and act on own initiative.
  • Strong team player – flexible with duties & willing to cover other duties.
  • Good verbal & written communication.
  • Ability to work to deadline.
